n8n vs Zapier for Marketing Automation

We build production marketing automation on both tools, and the honest answer is that they solve overlapping but different problems. Zapier optimises for breadth of connectors and speed for non-technical builders. n8n optimises for control: complex branching, code steps, self-hosting and per-execution economics. Most of the disagreement online comes from comparing them on the wrong workload.

    Short answer

Choose Zapier when you need many simple integrations owned by marketers, and volume is modest. Choose n8n when workflows are branching, high-volume, data-transforming, or need to run inside your own infrastructure. Plenty of teams run both: Zapier at the edges, n8n for the core lifecycle logic.

Cost behaves completely differently at volume

This is where most teams get surprised. Zapier bills per task, and every step in a Zap is a task — so a seven-step Zap running on 10,000 leads a month is 70,000 tasks. n8n bills per workflow execution on cloud, meaning the same seven-step workflow is one execution, and self-hosting reduces marginal cost to infrastructure.

    • Low volume, many distinct integrations: Zapier is usually cheaper and faster to build
    • High volume, few complex workflows: n8n is usually dramatically cheaper
    • Model your real step count before comparing plan prices — headline tiers mislead

Complexity is the real dividing line

Zapier is excellent at moving a record from A to B with a filter in between. Once a workflow needs to loop over line items, reconcile two API responses, retry selectively, or make a decision based on a computed value, you end up chaining Zaps and losing observability. n8n handles that in one canvas with a code node where needed.

    • Multi-step lead scoring with enrichment and fallbacks: n8n
    • Form submission to CRM plus Slack notification: Zapier
    • Nightly reconciliation jobs over paged API data: n8n

Who is going to own it matters more than the feature list

A technically superior tool nobody on the team can maintain is a liability. We have migrated automation away from n8n because the marketing team needed to own changes without a developer, and toward n8n because the workflows had outgrown what a marketer should be asked to maintain. Ownership is a legitimate selection criterion.

    Compliance and data residency

For regulated clients, self-hosting is often the deciding factor. If customer data cannot leave a specific jurisdiction or your own network, a self-hosted n8n instance answers a question Zapier structurally cannot.

    AI steps in both tools

Both now offer AI actions. n8n's advantage is that AI steps sit inside the same canvas as arbitrary code and HTTP calls, which makes it a practical place to run small agent workflows with tool access. Zapier's advantage is that its AI features are easier for non-technical staff to adopt safely.

    Which should you choose?

    Choose n8n when

    • Workflow volume is high enough that per-task pricing hurts
    • Logic involves loops, merges, transformations or custom code
    • Data residency or self-hosting is a requirement
    • You want workflow definitions in version control
    • A developer or technical marketer will own the system

    Choose Zapier when

    • You need many simple integrations across long-tail SaaS tools
    • Non-technical team members must build and change automations
    • Volume is modest and speed to launch matters most
    • You have no appetite for maintaining infrastructure

    Frequently asked questions

Is n8n always cheaper than Zapier?

No. At low volume with many distinct simple integrations, Zapier is often cheaper in total cost once you account for build and maintenance time. n8n's cost advantage appears when execution volume is high or workflows have many steps.

    Can we use both?

Yes, and many teams should. A common pattern is Zapier for lightweight tool-to-tool connections owned by marketing, and n8n for the core lifecycle, scoring and data workflows owned by a technical owner.

Do we need a developer to run n8n?

Not necessarily for cloud-hosted, simple workflows, but you should expect to need technical ownership for self-hosting, code nodes and error-workflow design.

How hard is migrating from Zapier to n8n?

Straightforward per workflow but not automatic. We typically rebuild in n8n, run both in parallel against test records, then switch the trigger once outputs match.
